Sharing Files Across Excel Versions

Migrating to Excel 2007 offers some great benefits.  Take care and make sure to prepare your files so they can be shared with users of earlier versions of Excel.  Here is how to provide access for all:

  • Prepare the File Format. Excel 2007 uses an Open XML format that previous versions can’t open. Click the Microsoft Office Button and select Save As to save files for previous versions.
  • Consider Conditional Formatting Features. Use cell formatting that previous versions can apply:
    1. Earlier versions are limited to 3 conditions per cell.
    2. Avoid data bars, color scales, and icon sets.
    3. Apply formatting only to adjacent cell ranges—Excel 2007 does non-contiguous formatting, but earlier versions don’t support it.
  • Use Compatibility Mode. This turns off incompatible features in Excel 2007.

Enjoy the features of Excel 2007 and still collaborate with users of previous versions!
