Reduce Typing: Use Drop Down Menus

Make a drop down list of data you frequently enter (days of the week) to speed data entry.

  • In a clear worksheet area, type a label for your list (e.g. Days of the Week).
  • Enter the data (e.g. Monday) below the label.
  • Highlight the list, including the label.
  • At the Insert menu, click Name, select Define.
  • Your label will be in the Names in Workbook field. The Refers to box shows the sheet and the cells that contains your data.
  • Click Add and then OK.
  • Select a cell range in which to enter your data.
  • From the Data menu, choose Validation.
  • Select Allow and then select List. Go to the Source field, type “=” and your label name.
  • Check the In-cell dropdown box and select listed items for the highlighted cell range!
